Students Leaving UD
When you graduate or leave the University of Delaware, you will lose access to most of your UD accounts and services—or, in some cases, your accounts will be transitioned to another level of access. Changes will affect the following services: Zoom, Office365, Email, Canvas, WordPress, OneCard.
Microsoft Office 365 and OneDrive
O365/OneDrive after leaving UD
If you are no longer enrolled in classes or no longer fully matriculated, Office 365 applications will stop working on your computer or device. However, the files you created with Office365 can be saved on your computer or device before your account is disabled.
O365/OneDrive after graduation
Graduates will retain access to Office365 until the start of the next full semester. At that point, your account will be disabled. Be sure to transfer your files out of OneDrive (see below).
What to do before your O365/OneDrive account is disabled
Your @udel Windows logon
If you use your @udel.edu account to log on to a Windows machine, this will stop working when your account is disabled.
Microsoft Exchange
If a department enabled Microsoft Exchange for your email service, you should request to be migrated off. Note that the primary email system for students is Google Mail.
Transfer your files out of OneDrive
It is important that you transfer all files you intend to keep out of OneDrive before you leave the University. If you have just graduated, you should do this before the start of the next full semester. If you don’t, you could lose your OneDrive files permanently.
Can you access files in OneDrive after your account is disabled?
Generally, no, you cannot access OneDrive files after your account is disabled. If necessary, you can request that your OneDrive account be re-enabled for 14 days, but this option is only available for a limited time after your account is disabled.
Google Workspace
Google Workspace after graduation
After graduation, you can continue to use your Google Workspace account, including your UD Gmail address.
Alumni can continue to use their @udel.edu email addresses and Google Workspace accounts. Alumni should review the following page for more information about Google Workspace accounts at UD: Google Workspace – Alumni Information.
Remember that your Google workspace account has a storage limit. Review Google Storage limits at UD.
If you would like to migrate your files over to a personal Google Account, you can use Google Takeout.
Note: If you were employed at UD in a research capacity, read this article for information about additional storage options.
Note: You can change some of your Google Workspace settings by visiting the Alumni Settings page before you log in to Google Workspace @UDel.edu. The Alumni Settings page is also available from the Google Workspace login page.
Google Workspace if leaving UD before graduation
If you do not graduate and are no longer enrolled in classes or no longer fully matriculated, your Google Workspace access will be disabled.
Inactive Google Workspace accounts
Starting on January 16, 2024, UD will apply an archive & removal strategy for any account which has not been accessed in 2 years. This follows Google’s standard for account removal. Going forward, you will need to login and check your mail, open a Google Doc, or perform some action with your UD Google account at least once every 2 years to keep it active. Inactive accounts will receive a warning notification via email and then will be deleted on a rolling basis.
What you need to do before your Google Workspace account is disabled
Transfer your files out of Google Workspace (if you are not alumni)
It is important that you transfer all files you intend to keep out of Google Workspace before you leave the University. If you don’t, you could lose your Goggle Workspace files permanently. We recommend using Google Takeout to download your Gmail and Drive files.

Zoom
UD offers Zoom Pro accounts to all students. Upon graduation or other separation from the University, your Zoom Pro account will be transitioned to a Zoom Basic account.
To learn more about how this change affects your Zoom account, visit our Zoom and Leaving UD page.
Approximately 6 months after the end of your last term, you will lose access to Zoom.
If you return to UD to begin another degree, or if you start a job at the University, your Zoom Pro account will be reinstated.
Canvas
We recommend that you download any assignments or materials you may need or want to keep from each of your Canvas courses as a personal backup. Instructors can restrict access to course materials after the course term has ended. If that happens, you will not be able to retrieve your information from the course.
Starting in August 2022, Canvas sites older than 5 years will be deleted as part of the new Course Data Retention process. When the site is concluded you will not be able to access any of your materials still stored there.
WordPress
WordPress access is only available to current faculty, staff, and students.
We recommend exporting your site data and uploading to a different host, such as wordpress.com. If you need assistance, please contact askit@udel.edu.
Access to WordPress accounts will end when your UDelNet ID transitions to alumni. Sites will be removed from sites.udel.edu on a rolling basis.
OneCard
Does ONEcard stop working immediately upon graduating/leaving the University?
Your ONEcard account is disabled within 30 days after graduation.
After graduation, if you are still using services on campus that require a ONEcard, you can request that your account be reactivated to reflect your current designation (alumni, part-time employee, etc.)
If you leave the University before graduating, your ONEcard will stop working as soon as your status is updated in UDSIS.
