Responsibilities:

The President shall

  1. Be a registered UD graduate student.
  2. Maintain an appreciation for the diverse needs of the membership.
  3. Consistently monitor organizational needs and propose modifications when needed (providing alternative solutions).
  4. Cultivate a sense of awareness of the goals/aims of BGSA and establish organization creditability amongst the membership and the UD community (e.g., academic departments, the Office of Graduate & Professional Education (OGPE), GSG, Student Life, and other UD organizations).
  5. Maintain a positive public relations image throughout the campus.
  6. Maintain constant communication with the faculty advisor(s) and BGSA executive board.
  7. Make certain the organization remains registered and financially solvent.
  8. Schedule and moderate regular meetings of the general body and executive board.
  9. Establish committees and appointing committee chairs and co-chairs and keeping abreast of the activities and progress of the individual committees.
  10. Prepare the agenda for BGSA meetings.
  11. Act in an advisory role to the incoming president as needed.

It will be important for the President to meet with the OGPE Provost and Assistant Provost at the beginning of each year. The President of BGSA should also maintain a working relationship with the GSG president and would do well to attend a least one GSG meeting a semester.

The Vice-President shall

  1. Be a registered UD graduate student.
  2. Mirror each of the responsibilities and duties of the President in an effort to equally ensure the implementation of the aforementioned goals.
  3. Work collaboratively with the President to organize, implement and oversee the association’s overall development and progress.
  4. Assist the President in establishing committees and appointing committee chairs and co-chairs as well as staying informed of the activities and progress of the individual committees.
  5. Maintain the organizational and structural tasks of the association.
  6. Maintain and develop written officials documents for the various committees and executive board.
  7. Be prepared to take on the role and duties of the President if s/he is no longer able to fulfill his/her duties and responsibilities.

The Treasurer shall

  1. Be a registered UD graduate student.
  2. Reconcile on and off campus accounts.
  3. Collect membership donations and keep an accurate and current account of all individuals who have donated.
  4. Ensure financial stability of the BGSA. Organize and oversee fundraising efforts – solicit funds from outside resources, including departments, colleges, businesses, and others to support BGSA activities. Develop sponsorships requests, materials, and brochures to obtain funding.
  5. Reimburse of funds to committees and members.
  6. Make consistent financial reports available to the e-board and general body.

The Secretary shall

  1. Be a registered UD graduate student.
  2. Circulate and collect an attendance sheet at every meeting and event.
  3. Distribute agendas at meetings (agenda is set by President or the specified meeting moderator).
  4. Record and make available the minutes of every BGSA meeting for review at following meeting (including general and executive board meetings).
  5. Ensure that all written and electronic correspondences are dealt with in a timely and professional manner.
  6. Maintain written and /or electronic correspondences with the general Black graduate community (includes updating the community on upcoming events and general relevant information).
  7. Manage and update list-serve on the e-mail system at the University of Delaware so that s/he may send mass mailings to the general body (mailing list should include the e-mail addresses of all Black graduate students as well as the e-mail addresses of other Black Graduate Student Organizations within the local and regional area-when available).
  8. Check BGSA e-mail account regularly.

The Public Relations Chair shall

  1. Be a registered UD graduate student.
  2. Manage the BGSA website and Facebook account.
  3. Update the previous online resources in a timely manner (e.g., events, gallery, etc.), where any major changes that are published must be authorized by the President and/ or the Vice President.
  4. Help design flyers and promotional material for BGSA activities.
  5. Serve as historian for all BGSA events, recording the organization’s activities via photography.

The Academic Support Chair shall

  1. Be a registered UD graduate student.
  2. Supervise planning of academic support related events and partner with, undergrads, campus departments and organizations to plan and implement events.
  3. Recruit and manage BGSA members to work with planning or advertising of events, such as organizing weekly study sessions or accountability buddy/partner system.
  4. Coordinate the organization’s involvement in related activities sponsored by the UD.

The Community Service Chair shall

  1. Be a registered UD graduate student.
  2. Supervise planning of community service related events and partner with, undergrads, campus departments and organizations to plan and implement events.
  3. Recruit and manage BGSA members to work with planning or advertising of events, which is suggested to take place at least monthly within the surrounding community, such as volunteering at a soup kitchen or after school program.
  4. Coordinate the organization’s involvement in related activities sponsored by the UD.

The Graduate Student Government Liaison shall

  1. Be a registered UD graduate student.
  2. Inquire about campus departments and organizations BGSA should get involved with.
  3. Attend meetings relevant to BGSA efforts (i.e., GSG)
  4. Attend all GSG meetings occurring once a month or select proxy/alternate.
  5. Participate on a GSG committee (optional).
  6. Serve as BGSA representative at meetings and advocate organizations interests when appropriate.
  7. Transcribe notes at any meetings attended, obtain handouts and other materials and report notes to the BGSA E-board and BGSA membership.
